 Coordinator's Assistant (Childcare)- Internal Call

The Foundation for Educational Services (FES) is a public entity within the Ministry for Education and Employment. The FES facilitates the link between formal and informal teaching on a National level by providing a range of innovative educational initiatives. A full time vacancy for the post of  Coordinator's Assistant has arisen within the child care centres of the Foundation for Educational Services. 

Applicants must be FES employees, not only by the closing time and date of this call for applications but also on the date of appointment.

Remuneration

Salary:- € 23,798  (2024) as per collective agreement.

Eligibility Criteria

By the closing time and date of this call for applications, applicants must present: -

  1. Completed successfully the MQF Level 4 Qualification related to Childcare (approved courses by the Education Resources Department).
  2. Completed successfully the MQF Level 5 Qualification related to Childcare Management (approved courses by the Education Resources Department).or currently studying to obtain such qualification. 
  3. A valid Paediatric First Aid Certificate;
  4. A valid Food handling certificate
  5. Ability to communicate in both Maltese and English; (applicants with O'Levels in Maltese and English or proficiency testing will be given priority)
  6. A character reference letter;
  7. An employment history issued by Jobsplus;

Job Description

The role is to provide assistance to the childcare coordinator of the Childcare Centre in working with partners across all sectors and promoting high quality care to all children. FES is committed to provide a service that safeguards and promotes the welfare of children and expects all staff to share this commitment. This includes establishing and promoting a working environment in which the cognitive, emotional, social, psychological, and physical development and well-being of children are paramount, and in which a supportive, empathetic, and non-judgmental approach is used in all interactions with children and their families.

The functions of the job role are to assist the centre coordinator in:

  1. Encouraging positive relationships within the centre, encouraging all the parents, carers and staff to participate in the decision-making processes relating to the provision;
  2. Ensuring the health, safety and well-being of the children;
  3. Promoting the children's development, learning and play;
  4. Contributing to planning and assessment and to support the involvement and ongoing development of the staff;
  5. Championing effective teamwork and reflective practice.

In relation to the Service User the Coordinator’s Assistant is to assist the centre coordinator in:

  • Taking daily decisions with regards to the children attending the centre
  • Dealing with settling in of new children
  • Making sure that staff and parents abide by FES policies and procedures in the daily running of the centre.
  • Communicating effectively with children and parents/guardians, using a range of communication modes.
  • Supporting children in developing relationships with others enabling them to cope with new challenges, become autonomous and self-determined individuals.
  • Showing and shares genuine interest in each child and makes every effort to foster warm, caring, and friendly relationships to support children’s well-being.
  • Supporting the centre coordinator in promoting diversity and implements strategies, policies, and practice to promote inclusion.
  • Developing an empathy development culture by supporting children to understand the emotions which others are experiencing.
  • Being sensitive to children’s interests and inclinations and to provide stimulating environments which challenge the minds of every learner.
  • Supporting childcare educators to promote a creative and innovative range of play and learning experiences, making full use of indoor and outdoor opportunities and facilities.
  • Making sure that first aid and medication are provided according to the correct procedures.
  • Making sure that accidents, injuries, signs of illness and other emergencies are promptly identified, recorded, and reported.
  • Maintaining supervision of children appropriate to the levels of risk and the child’s stage of development
  • Recognising indicators of possible child abuse, helps children to protect themselves from abuse and responds sensitively to child’s disclosure of abuse.
  • Ensuring that the approach to all areas of work with children, staff and parents in the centre is empathic, positive, and non-judgemental.

In Relation to Parents and Guardians the Coordinator’s Assistant is to assist the centre coordinator in:

  • Receiving new applications and guiding parents on how to apply for childcare
  • Providing parents/guardians with information about the setting and the development of their child.
  • Giving regular information about the curriculum, the progress of their children and other matters affecting the Centre to promote a shared understanding of FES aims.

In Relation to the Team the Coordinator’s Assistant is to assist the centre coordinator in:

  • Assisting the centre coordinator to collect staff availabilities to compile the roster;
  • Assisting the centre coordinator to plan the staff roster (including dealing with vacation leave and sick leave);
  • Assisting and promoting ideas to staff in preparing a holistic programme of daily activities;
  • Guiding and supporting the CEs as they prepare the learning opportunities, including replacing some team members during the implementation of activities;
  • Ensuring the implementation of learning opportunities even if there is shortage of childcare staff;
  • Observing CLA and guiding staff to plan according to the interest of the children;
  • Vetting of weekly activities and approving materials to be bought for the planned activities;
  • Collating a list of items required to be bought for CLA;
  • Delegating with staff the purchase of CLA items in order to maximise efficiency and reduce overall cost;
  • Collecting and vetting of photos taken by the childcare educators during the activities;
  • Assisting the centre coordinator to upload photos on facebook and market service on a weekly basis or as deemed necessary according to the exigencies of the service;
  • Supporting the centre coordinator in the management of staff and support the team on a day to day basis to enable all to carry out their responsibilities;
  • Taking over a group of children if there is shortage of staff in the centre;
  • Monitoring staff in the completion of their tasks and provide feedback following discussion with the centre coordinator;
  • Attending training as part of Continuous Professional Development (CPD);
  • Monitoring of children and liaising with coordinator about progress;
  • Ensuring cleaning services are being rendered at a satisfactory level. Liaise with centre coordinator and coordinate with the contractor;
  • Partake in the distributing leadership;
  • Effective communication with staff.

In Relation to Management the Coordinator’s Assistant is to assist the centre coordinator in:

  • Regularly reporting progress to the centre coordinator;
  • Monitoring of legitimate expenses being presented for refund and of cash flow in petty cash, and keep the centre coordinator informed at all times;
  • Ensuring that health and safety requirements are maintained according to the DQSE standards;
  • Liaising with the coordinator regarding different ways to improve the service;
  • Receiving contributions from service users and ensuring that the programme secretary works out the paper work of the monthly contributions. Making sure that these are brought to head office in a timely manner, according to deadlines;
