Centre Coordinator Skolasajf 2025

Applicable for both, Malta and Gozo 

The Foundation for Educational Service (FES) invites prospective employees to apply for the role of Centre Coordinator for the Skolasajf 2025 programme, which begins on the 9th of July 2025. The contract will commence on the 9th of June 2025 to allow time for necessary training and preparation required for the role. 

Applicants must be available for a few hours per week starting from the 9th of June 2025 for preparatory tasks, including meetings with fellow Centre Coordinators, discussions with Programme Coordinators, and participation in training sessions (held either online or at the head office). Additional meetings may be scheduled as needed. This opportunity is open to all Centres across Malta and Gozo.

Mandatory on-site training will take place on 7th and 8th July 2025 (attendance is compulsory).


Remuneration 

Rate of pay is €12.72 per hour.

The employee will work on a part-time basis, with a maximum of thirty (30) hours per week. Employee rostering will be determined based on the operational needs of the service. Employees on an indefinite contract will return to their regular indefinite roles during the September Bridge Holidays.

ELIGIBILITY CRITERIA 

By the closing time and date of this call for applications, applicants must be in possession of the below eligibility criteria:    

  1. In possession of a recognised degree at MQF Level 6, in (i) Education or (ii) Social Sciences (iii) Management or equivalent, plus three (3) years relevant work experience,                              OR
  2. In possession of a qualification MQF Level 5, in (i) Education or (ii) Social Sciences or equivalent, plus (i) experience working with the FES as Acting Centre Coordinator or two (2) years ( i.e. 24 months) work experience with FES as a Playworker with extra responsibilities (PER)
  3. Conversant with Microsoft Document, Excel Sheets and One Drive. Preference will be given to the applicants that possess an ECDL Certificate.
  4. Ability to communicate in Maltese and/or English. Preference will be given to applicants that can communicate in both.
  5. A police conduct (not more than six (6) months old)
  6. Candidates with a food handling certificate and a  first aid will be given preference. 
  7. If candidate is a previous FES employee in the role applied for, candidate is to present an FES payslip of previous employment or a copy of the contract. If not a previous Fes employee, candidate has to either present the latest MEDE payslip if candidate is a MEDE employee, or a reference letter.

Job Description

The Centre Coordinator has the following roles and responsibilities; however other related duties that are in line with the entity’s exigencies, may be requested to be carried out. 

JOB PURPOSE 

  • Ensuring that the programme of activities delivered is interesting, valuable and appropriate to the children using the facilities. 

  • Ensuring the safety and well-being of children. 

  • Ensuring that parents, carers and other visitors are made to feel welcome on visiting the centre and that they receive appropriate information and advice. 

  • Maximising the learning value by monitoring the activity planning of Playworkers and Child Support Workers. 

  • Contributing to the accountability of the centre through assisting in the maintenance of agreed records including registers, contracts, doctors, accident books, financial transactions and other administrative duties. 

DUTIES AND RESPONSIBILITIES 

Service Management (Planning, Development, Implementation and Evaluation) 

  • Ensure the Centre complies with all FES policies. 

  • The Centre Coordinator is to inform all his / her staff that they must immediately inform him / her of any form of child abuse that is observed. In turn, the Centre Coordinator is to immediately inform his / her Regional Coordinator about the matter.  

  • Check that play conditions conform to the appropriate health and safety standards and are suitable for the group and activity planned.

  • Contribute to the Service’s responsibility for continuously checking that the premises, fences, gates, etc. are secure, reporting defects promptly to the Regional Coordinator. 

  • Manage day-to-day operations of the service. 

  • Assure classrooms and other shared school space is well maintained and left as found. 

  • The Centre Coordinator is to ensure that the FES Programme of Activities, as issued by the Programmes Department is forwarded to all the staff at the centre, that is the PERs, Playworkers and Child Support Workers. 

  • Oversee the planning, preparation and implementation of the FES programme of activities that cater for the specified age groups. 

  • Evaluate events and activities and contribute to the development of the service including making recommendations for change and development of the activities. Such recommendations are to be forwarded to the Programme Coordinator, Programmes Unit for consideration. 

  • Ensure the safe supervision of children regarding the duty of care. 

  • Supervise the provision of a high-quality service for children and to ensure the safe use of equipment and facilities without endangering themselves or other users. 

  • Overseeing the applications on the online portal system 

  • Ensure the inputting of attendance on the portal is done daily 

  • Co-ordinate with the College Psychosocial team where necessary and as guided student support services within the MEDE (Ministry for Education and Employment). 

Human Resources Management (Recruitment, Co-ordination and Collaboration) 

  • Facilitate regular after school staff meetings 

  • Co-ordinate staffing and rostering of staff 

  • Monitor staff/child ratios 

  • Oversee the staff interaction with children 

  • Ensure policies regarding equity, behaviour, bullying, dress code, etc. amongst children and staff are known and adhered to. 

Communication (Networking – Community development, Promotion) 

  • Develop and maintain an important level of communication and positive relationships with the Head of College Network, Head of School, office staff, parents and Skolasajf staff 

  • Liaise and communicate effectively with parents 

  • Provide programme orientation, encourage involvement, and maintain contact with families and school 

  • Follow the FES procedures for dealing with complaints 

  • Report immediately any areas of concern, such as bullying, suspected abuse on children or any other grievous matters immediately, to his / her assigned Regional Coordinator 

  • Facilitate partnerships with appropriate public and private agencies, which provide services for the students and families 

  • Establish and maintain partnerships with community-based organisations, public agencies, local organisations and entities (e.g. parish) and other collaborators. 

Administration 

  • Ensure recording of behavioural problems; 

  • Ensure recording of all accidents / incidents; 

  • Maintain the quality system and report any deviations from the intended system; 

  • Responsible for dealing with disciplinary issues as per FES disciplinary policy; 

  • Responsible for compiling children’s classifications 

  • Ensure that all relevant documents are collected prior to the commencement of the service 

  • Responsible for processing timesheets and other information to be sent to the Programme Secretary on a four-weekly basis; 

  • Monitoring of extra-hours fees and negative balances (where applicable); 

  • Responsible for Petty cash receipts and expenditure; 

  • Track games/craft, stationery, consumables, sporting equipment, electrical goods and paperwork requirements. 

  • Monitor rosters to ensure effective hours; 

  • Ensuring that first aid boxes are maintained up to date; 

  • Review of Activity plans of Playworkers and Child Support Workers. Take immediate action where these are not presented or not done properly; 

  • Keeping up to date with e-mails and with deadlines as requested; 

  • Making sure that parents’ details are correct, up-to-date and are easily accessible to office staff if required; 

  • Ensuring that all information related to contact tracing is up to date daily and be able to be sent to the Health Authorities when requested. The centre coordinator is to ensure that s/he has access to this information even when not at the centre; 

  • Provide information when required to parents regarding any situations at the centre which might require further action; 

  • To attend meetings at Head Office when requested. 

Other Duties  

  • The employee shall perform other duties assigned by the Chief Executive Officer, FES according to the exigencies of the Foundation for Educational Services.
