Coordinator - Administration - Internal Call
The Foundation for Educational Services (FES) is a public entity within the Ministry for Education, Sport, Youth, Research and Innovation. The FES facilitates the link between formal and informal teaching on a National level by providing a range of innovative educational initiatives. A full time vacancy for the post of Coordinator - Administration has arisen within the Foundation.

Remuneration
Salary:- € 26,458.48 (2025) as per collective agreement.

Qualifications/Experience
By the closing time and date of this call for applications, applicants must be in possession of the below eligibility criteria:
1a) In possession of a recognised qualification pegged at MQF Level 6 (at least 180 ECTS) in Management/Administration or any other relevant qualification.
OR
1b) In possession of a recognised qualification pegged at MQF level 5 in Management/Administration plus 2 years relevant work experience;
AND
a) Effective communication skills in both Maltese and English.
b) ECDL Qualification will be given priority
c) Valid police conduct (not older than six months).
d) Recent payslip or contract in indefinite role as proof of current employment with FES.
e) Employment history issued by Jobplus as a confirmation of experience.
f) Driving License

Job Description
Accountability
The post-holder shall be accountable to the Manager Corporate Services of the Foundation for Educational services or his/her delegate.
Roles and Responsibilities
The Coordinator Administration is a key member of the Business Support Unit. S/he will be part of the Corporate Services team. He/she will have the following roles and responsibilities; however other related duties may be requested to be carried out by the CEO, the Head Business Support or his/her delegate in line with the entity’s exigencies.
• Responsible for the allocation and distribution of stationery items and other consumables amongst all FES centres.
• Responsible for the maintaining and upkeep of first aid boxes across all FES childcare, Klabb 3-16 and Skolasajf centres.
• Responsible for the setting up and maintaining of an inventory across all FES childcare, Klabb 3-16 and Skolasajf centres.
• Responsible for the proper up-keep and maintaining of all stores at FES Head Office.
• Liaising with MYER. the cleaning contractor and all FES centres to ensure that cleaners are present within the centres and day-to-day cleaning is up to standard.
• Ensure that fire alarm systems installed at FES centres are well-maintained and in a working condition.
Liasing with Centre Coordinators and the seccurity contractor regarding security service.
Must asist in the preparations for Skolasajf such as coordinating with Police and LESA officers, liasing with Local Councils regarding street signs, lliasing with Centre Coordinators regarding the school contracts amongst other responsibilities.
• Ensure that health and safety measures (for example fire extinguishers) within all FES centres are well-maintained.
• Ensure that all air-conditioning systems installed at FES centres are regularly serviced and liaise with the suppliers in case of maintenance.
• Assist the Corporate Services Manager during refurbishment exercises within FES centres.
• Assist the Corporate Services Manager in the setting up of new centres as requested by FES management.
• Issuing quotations, and ensure that theprocrument regulations aare adhered to.
Keeping track of dfeliveries, purchase orders and invoices.
• Carry out site visits within FES centres, in relation to maintenance, cleaning and other issues that might arise. .
• Establishing and maintaining effective working relationships with FES Centre Coordinators, as well as with other stakeholders.
• Assist in other administrative duties, if the need arises.
• Any other function as indicated by the CEO and/or his/her delegate.
