The Foundation for Educational Service (FES) is receiving applications from prospective candidates who would like to work in the role of Centre Coordinator (Resource Centre) for the Skolasajf 2024 programme starting from 10th July 2024. The contract will start on the 1st July 2024 in view of possible training and preparation required for the role.This is applicable for all Centres in Malta and Gozo.

Training at Centre - 8th and 9th July 2024 (Compulsory) 


Remuneration 

Rate of pay is € 12.59 per hour with an additional hourly allowance €1.50 

The Employee shall work on a part-time basis up to a maximum of thirty (30) hours per week. Rostering of employees will be affected according to the exigencies of the service.Employees on an indefinite contract will revert to their indefinite role for the September Bridge Holidays.

ELIGIBILITY CRITERIA 

As from this year, all applicants that do not possess a qualification in education, will be required to attend a number of compulsory training sessions. 

More information about these training sessions will be provided closer to the start of Skolasajf. 

By the closing time and date of this call for applications, applicants must be in possession of the below eligibility criteria:    

  1. In possession of a recognised: 
    • Degree at MQF Level 6, in (i) Education or (ii) Social Sciences (iii) Management or equivalent, plus three (3) years relevant work experience, OR 
    • qualification MQF Level 5, in (i) Education or (ii) Social Sciences (iii) Management or equivalent, plus (i) experience working with the FES as Acting Centre Coordinator or two (2) years ( i.e. 24 months) work experience with FES as a Playworker with extra responsibilities (PER)
  2. Conversant with Microsoft Document, Excel Sheet and One Drive. Preference will be given to applicants that posses an ECDL Certificate.  
  3. Ability to communicate in both Maltese and English 
  4. Reference in the form of either a: 
    • Payslip or contract for the previously employed role of Centre Coordinator or  
    • latest MEYR payslip if candidate is a MEYR employee or  
    • Character reference letter written by a qualified professionalwho knows the applicant well

Job Description

JOB PURPOSE 

  • Ensuring that the programme of activities delivered is interesting, valuable and appropriate to the students using the facilities. 

  • Ensuring the safety and well-being of students. 

  • Ensuring that parents/guardians, carers and other visitors are made to feel welcome on visiting the Resource Centre and that they receive appropriate information and advice. 

  • Maximising the learning value of the activities by planning and evaluating activities. 

  • Contributing to the accountability of the centre through assisting in the maintenance of agreed records pertaining to contracts, medical certificates, financial transactions, students’ registrations, incident reports and attendances. 

  • Following policies and procedures as written in the operations manual; 

DUTIES AND RESPONSIBILITIES 

Service Management (Planning, Development, Implementation and Evaluation) 

  • Ensure the Centre complies with all FES policies. 

  • Report to the FES Head Office any abuse, suspect of abuse, or any other concern related to child protection issues or bullying. 

  • Check that the environment conforms to the appropriate health and safety standards and are suitable for the group and activity planned. 

  • A fire drill is to be carried out in the second week of Skolasajf. Also continuously checking that the premises, fences, gates, etc. are secure, reporting defects promptly to the Manager Corporate Services. 

  • Manage day-to-day operations of the service. 

  • Responsible of compiling children’s classifications and class lists. 

  • Ensure that all relevant documents are collected prior commencement of the service 

  • Assure classrooms and other shared school space is well maintained and left as found. Damages are to be immediately reported to the FES Head Office. 

  • Oversee the planning, preparation and implementation of activities by following the FES Programme of Activities, catering for the specified age group(s), and abilities of the service users. Centre Coordinators are to take immediate action when staff members fail to carry out their duty. 

  • Maximising the learning value of the activities by guiding good planning, evaluation and self-reflection. 

  • Evaluate events and activities and contribute to the development of the service including making recommendations for change and development of the service, and adaptation of the activities to suit the individual’s needs 

  • Monitor staff and ensure that at no point service users are put at risk. Also, to ensure the safe use of equipment and facilities without endangering anybody.  

  • Keep a record of attendances, ensure accurate record keeping and ensuring that they follow up any negative balances incurred due to extra hours 

  • Submit information requested by Head Office by the deadlines imposed 

  • Co-ordinate with the National School Support Services (NSSS) within the Department of Educational Services. 

  • Co-ordinating and scheduling of transport routes which includes the assignment of transport escorts. 

  • Liaison with the nursing service. 

Human Resources Management (Recruitment, Co-ordination and Collaboration) 

  • Liaise with the FES HR Department about staff requirements for the Resource Centre and schedule the rostering of staff 

  • Respect staff/child ratios as per procedures. 

  • Monitor staff performance and take immediate action when required. 

  • Ensure policies regarding equity, behaviour, bullying, dress-code, etc. amongst staff are known and adhered to. 

  • Facilitate a meeting with staff one hour per week. 

  • Adhere to HR (Human Resources) policies and procedures with special reference to the progressive disciplinary policy which may be found in the Employee Handbook 

Communication  

  • Develop and maintain an important level of communication and positive relationships with the College Principal, Head of School, FES Head Office staff, parents/guardians and Skolasajf staff. 

  • Training of staff with regards to service provision (programme and policies) 

  • Follow the FES procedures for dealing with complaints. 

  • Report immediately any areas of concern, such as bullying, suspected abuse on students or any other grave matter, to the Programme Coordinator at FES, Head Office. The Centre Coordinator is to immediately report such matters to his / her assigned Regional Coordinator. 

  • Following discussions with the Regional Coordinator (Inclusion), or the Programme Coordinator (Inclusion), or the Head/Manager (Programmes), facilitate partnerships with appropriate public and private entities, which provide services for the students and families. 

Administration 

  • Behavioural problems from students, accidents or any other form of incidents are to be discussed immediately with the Regional Coordinator (Inclusion) so that action can be taken. 

  • Be responsible for ordering, preparing, and documenting delivery of any food items according to the Healthy Food Policy. 

  • Be responsible for processing timesheets and other information to be sent to the Finance Unit on a four-weekly basis. 

  • Responsible for Petty cash receipts and expenditure; Liaise with the Corporate Services unit regarding the need of resources such as stationery, first aid items, cleaning material and sports equipment. 

  • Always liaise and build a professional relationship with the school cleaners to ensure a clean environment. 

  • Ensure that documentation held at the centre complies with the FES Data Protection and Retention Policy. 

Other Duties  

  • The employee shall perform other duties assigned by the Chief Executive Officer, FES according to the exigencies of the Foundation for Educational Services.
