Coordinator - Business Support (Human Resources)

The Foundation for Educational Services (FES) is seeking a Coordinator on an indefinite contract to join its administrative structure  within the Business Unit.

OVERALL PURPOSE OF POSITION

  • to offer constant support to the HR Department

Administration

  • Act as liaison between the HR Manager and employees, ensuring smooth communication and prompt resolution of all queries;
  • Personnel Benefits and Entitlements, Monitoring and Updating of Sick Leave and Vacation Leave Balances;
  • Provide information to the general public regarding employment opportunities and job descriptions;
  • Preparing monthly reports;
  • Liaising with third parties.
  • Assist with day to day operations of HR functions and duties
  • Assist in gathering statistics, carrying out research and data analysis in order to identify gaps or help to improve the quality of service provision.

Employees

  • Responsible for  personnel matters of all the FES Staff;
  • Maintain an updated HR database with information related to staff;
  • Responsible for general correspondence on personnel matters;

 

Service users

  • Assist the public in any queries related to job opportunities;
  • Providing assistance with online applications;
  • Assist past employees with any pending issues;

Recruitment

  • Assist in the recruitment process. This includes organisation of interviews, signing of contracts, reporting of interviews and  updating records with third party entities;
  • Responsible for documentation filing including that of recruitment and personal files;
  • Able to work autonomously and assist in more complex HR duties  including oversight of the recruitment portal;
  • Be conversant with Employment Regulations and Procedures for Public Sector recruitment;
  • Organisation of Personnel Functions including updating databases, filling up engagement and termination forms.

Liaising with the Accounts section

  • Oversee the Leave Planner;
  • In collaboration with the coordinators, ensure that all information on engagement and termination of staff is inputted in the payroll system;

Communication:

  • actively participating in regular meetings;
  • work as a team player, sharing working expertise and competences with the other Support Services Coordinators;
  • filing of correspondence and records
  • other duties which may be delegated to him/her by his/her seniors

Qualifications/Experience

By the closing time and date of this call for applications, applicants must be in possession of:

1a)   Recognised Degree pegged at MQF Level 6 in i) Human Resource Management or  (ii) Public Administration or (iii) Bachelor of Commerce or equivalent plus two years relevant work experience related to administration.

                                                                   Or   

1b) Recognised qualification at MQF Level  5  plus 5 years relevant work experience related to administration.

2)    An ECDL qualification having completed the ECDL course. Candidates currently doing the ECDL course will also be considered. 

3)    Applicants must be able to communicate in both Maltese and English.

4)    Recent police conduct.

Salary

Basic Salary :          19,826.16 (€487 increment per annum plus COLA in line with Collective   Agreement)

Contract Type:      Indefinite
